New Member Handbook
Introduction
On behalf of the Butterfly Rock Golf Club Committee, it is a pleasure to have you join our golf group and we hope you will enjoy not only golfing with our members, also we encourage you to participate in our planned sponsored events and activities.
BRGC is an inclusive golf society open to all nationalities, ages, and sexes. We also welcome member guests when they can join in.
Our Society is called “Butterfly Rock Golf Club” (BRGC), we are based in Hua Hin and we are a non-profit organization. BRGC operations shall be guided by best practice principles to support our golf society with the goal of applying fair play guidelines and aim to follow / meet the R & A Rules of Golf / USGA where applicable and designated Local Rules based on golf courses we play.
BRGG will operate and administer our society to:
- To foster and promote an enjoyable social and playing environment.
- To provide golf competitions for its members (and guests) at various golf courses playing various formats.
- Manage player handicaps using Handicap Master program applying WHS guidelines, while working in tandem with other local golf societies to ensure fair play.
- Maintain pertinent records of competitions, meetings, financial records, and other supporting documentation that may be required to fully support a transparent approach to managing BRGC Operations.
- Provide oversight and support the responsibility of our members (and guests) to not only comply with BRGC Rules (both General and Local) but to ensure we are ambassadors across our golfing community during play and when participating in social activities.
BRGC members shall pay an annual membership fee to any member of the Committee in cash or via bank transfer. Any member who has not paid or renewed their membership by January 31 will be automatically converted to visitor status.

BRGC is operated by a committee, who are volunteers and are always open to answer your questions and or if you require any further information about how we operate BRGC and our events.
Key responsibilities include:
- Organize, promote, publicize and manage all BRGC competitions / events, and social media content.
- Manage membership.
- Monitor and provide information relating to BRGC operations such as social activities, finances, news about our members to our membership.
- Manage member and guest Handicaps.
- Manage BRGC finances and ensure transparency of revenue / expenses are available for AGM and or when required for a specific review.
- BRGC member / guest Handicaps will be calculated based on games played with BRGC, and or other recognized clubs or societies. BRGC will endeavour to work in tandem with Hua Hin Golf Society and Saan Suk to monitor and review member Handicaps on a regular basis.
- BRGC has the right to review Handicaps as need be and has the discretion to change a member’s Handicap based on a special request. Such a request must be submitted in writing to the BRGC Committee for review. Upon review, the BRGC Committee will advise the member who submitted request in writing of the decision and adjust Handicap accordingly in our Handicap recording system.
BRGC will organize and administer a variety of competitions throughout the playing year. Each scheduled event will have an organizer (Committee member) and will welcome the support of BRGC member who wish to help.
We play each Monday at various golf local golf courses. Please note, members must pay a comp fee and prizes are awarded after each event for the day’s winners.
BRGC uses an online booking sheet via our website.
Members can access our online booking system using a BRGC password. Please ask one of our committee members for this password or you will have been provided with this password when you meet with the Membership Secretary who will also help you navigate our website and booking process.
All events will be posted in advance, and members are required to record their name (and name of guests including their handicap) on the date of the event they wish to play. Members are requested to book a minimum of 48 hours prior to event date. If there are a limited number of tee times available, BRGC organizers would give priority to members over guests.
A BRGC member may invite a maximum of 2 guests to any event (except those events restricted to Members only).
It is key to note, the event organizer will close the booking sheet a minimum 24 hours prior to the event and structure a start sheet for distribution to players. Event start sheets and results will be managed using the Handicap Master software.
BRGC plays off established “standard tees” at all the golf courses, please ask the organizer of the day what tees we are playing from. Maximum handicap for men is: 28, Ladies is 36.
Members are responsible for their guest’s compliance with BRGC General & Local Rules plus Code of Conduct.
The booking sheet process allows for members to register guests and / or cancel, and the organizer will note changes and prepare the start sheet accordingly. The organizer will issue the start sheet 1 day prior to the event. If an urgent situation arises where a member needs to cancel participation, the member should contact the organizer at the earliest via phone call so a change to start sheet and groupings can be completed.
Code of Conduct Protocol
BRGC core values will include congeniality, friendship, and respect through golfing and social activities. The members of BRGC are guests of golf courses around Hua Hin and beyond and the club negotiates agreements to play at these clubs and, to maintain and enhance the BRGC reputation. BRGC expects members and guests to:
- Play by and be aware the rules and etiquette of golf in Thailand. If unsure, ask your playing partner for a ruling on a playing issue. If the issue cannot be resolved during the game, in the spirit of our core values play two balls and get a ruling from the Committee before signing the score card.
- It is noted on our start sheets that all players arrive at the course a minimum of 30 minutes prior to their start time and be at the tee 5 minutes before their tee time. Players should complete their round of golf within the standard maximum time for 18 holes which is 4:20 hours. To facilitate meeting maximum time, please keep up with the group in front, and do not take an extended break after 9 holes. Players are requested to hand in their scorecard upon completion of their round to the organizer of the day based on start sheet instructions.
- Prior to exchanging score cards the player must take sole responsibility for marking his card with full name & handicap, during play the player is responsible for marking their opponents scores clearly (this cannot be delegated to the caddy).
- Show respect to the golf course by maintaining its playing condition, including ensuring the bunkers are raked, divots and pitch marks repaired (often the caddy will do this, but it is player responsibility to ensure it is done properly). Also show respect to the staff of the golf club including the caddy. The caddy is not a professional caddy and is employed to carry the bag, drive the cart, repair the course etc. (Players are advised not to drive the cart as if there is an accident the player will be held responsible.)
- Show respect to the work that the committee is doing and to fellow members and their guests. It is expected that members / guests make every attempt to attend presentations, if unable to attend please advise organizers of the day.
- Resolve issues in non-confrontational ways, both with fellow members and with the Committee. If any member has a suggestion or complaint about the work of the Committee, the member is encouraged to call a committee member or email to:
